JOB SUMMARY
Provide administrative and clerical support to doctors and healthcare teams to ensure smooth patient care operations.
Manage scheduling, patient reception, medical records, and communication tasks to support clinical effectiveness and patient satisfaction.
KEY RESPONSIBILITIES
Primary Responsibilities
Weight: 90%
Receive appointment requests, confirm with patients, and coordinate with doctors to arrange schedules.
Welcome and guide patients to designated waiting areas; prioritize patient flow based on clinical urgency and physician availability.
Prepare examination rooms and ensure availability of necessary medical supplies, documentation, and equipment before consultations.
Assist in basic clinical tasks such as measuring vital signs (blood pressure, heart rate, temperature, height/weight) before consultation.
Support physicians during patient consultations, including recording medical notes and preparing instruments.
Document and manage medical records in the EMR system; ensure accuracy, confidentiality, and completeness of patient information.
Assist in preliminary communication of test results or treatment instructions to patients as directed by physicians.
Guide patients to appropriate departments for diagnostic tests or procedures.
Assist in managing paperwork for interdepartmental or inter-facility transfers, and discharge documentation.
Perform all other administrative or clerical duties as assigned by the Head Nurse.
Support Responsibilities
Weight: 10%
Complete all additional tasks as assigned by supervisors, including participation in project-based work or operational support.
Attend weekly CME sessions, departmental briefings, and hospital-wide planning meetings.
Comply with hospital policies, protocols, and medical secretary professional standards.
Job Required Skills And Qualifications
Education & Experience
Diploma/Associate’s or Bachelor’s degree in Medical Secretary, Public Health, or related fields.
1–2 years of relevant experience in a hospital or clinical setting.
Fluent in English in a healthcare context: listening, speaking, reading, and writing.
Experience in drafting emails, reports, meeting minutes, and instructions in English.
