JOB SUMMARY:

The Project Coordinator will support the planning, execution, and monitoring of key transformation initiatives across the hospital group. This role ensures seamless coordination between departments, tracks project progress, and assists in overcoming operational challenges to drive efficiency, innovation, and improved patient outcomes.

JOB RESPONSIBILITIES:

  1. Project Coordination & Execution
  • Support the end-to-end management of hospital transformation projects, including digital health initiatives, process improvements, clinical workflow optimization, and infrastructure upgrades.
  • Coordinate project management activities, ensuring alignment with strategic objectives and timelines.
  • Assign tasks to internal teams, track deliverables, and support schedule management.
  • Monitor project progress, anticipate potential risks, and provide proactive solutions.
  • Assist in the preparation of project proposals, business cases, and presentations for senior leadership.
  1. Stakeholder Engagement & Communication
  • Liaise with different stakeholders, including clinical, operational, IT, and administrative teams, to define project requirements and objectives.
  • Act as the primary point of contact for project status updates, ensuring transparency and accountability.
  • Organize and facilitate project meetings, document key decisions, and follow up on action items.
  • Develop and maintain clear, concise project reports and dashboards for leadership review.
  1. Risk Management & Quality Assurance
  • Identify potential project risks and develop mitigation strategies to ensure smooth execution.
  • Conduct quality assurance checks and ensure compliance with hospital regulations and healthcare standards.
  • Support change management initiatives to ensure smooth adoption of new processes and systems by hospital staff.
  1. Resource Management
  • Assist in resource allocation for transformation projects.
  • Use project management tools to monitor timelines, and resource utilization.

QUALIFICATIONS & SKILLS REQUIREMENTS

  1. Education & Experience
  • Bachelor’s degree in Business Administration, Healthcare Management, Project Management, or a related field.
  • At least 5 years of experience in project coordination, preferably in healthcare, hospital administration, pharmaceutical or transformation initiatives.
  • Prior experience in healthcare transformation, operational efficiency projects, or hospital process improvements is an advantage.
  1. Technical & Soft Skills
  • Strong knowledge of project management principles, methodologies (Agile, Waterfall, Lean Six Sigma), and tools (Microsoft Project, Microsoft Planner, Asana, or equivalent).
  • Excellent organizational skills with the ability to manage multiple projects simultaneously.
  • Strong analytical and problem-solving abilities to identify inefficiencies and propose solutions.
  • Excellent communication and interpersonal skills to engage with multidisciplinary teams.
  • Ability to prepare and interpret flowcharts, schedules, and step-by-step action plans.
  • Familiarity with risk management and quality assurance processes in a hospital setting.
  • Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Teams) and data visualization tools for project reporting.
